BLUESUN TRAVEL TERMS & CONDITIONS

BlueSun Travel is a travel and cruise specialist promoting travel and cruises worldwide.  This includes, but not limited to, the Kimberley, Western Australia, Boat Charters, South Australia, Northern Territory, Cocos Keeling Islands, Christmas Island, Bali, Singapore and Vietnam & Cambodia. With over 35 years of expert knowledge, BlueSun Travel gives you the comfort of knowing how all itineraries we promote are professionally organised, ensuring visitors will experience the best your chosen destination can offer.

Tickets & Documentation
All tickets and vouchers will be issued on receipt of final payment being made to BlueSun Travel. This is approximately 4 weeks prior to travel, depending upon the product or supplier we have booked your travel through.

International Passengers:
Important Travel information for all passengers travelling to international destinations. Please refer to the Australian Department Of Foreign Affairs And Trade www.smarttraveller.gov.au upon receiving this advice and prior to travel. Passport, visa and health/vaccinations responsibilities – each person/passenger must ensure they have:

(a) A current passport with at least six months validity beyond their stay overseas.
(b) Applicable passport, visa and health/vaccination documentation by checking with the applicable embassies and consulates.

Visa’s and/or taxes may be payable at each destination on arrival and/or departure. This is the traveller’s responsibility.

MANDATORY SUPPLIER COVID CONDITIONS
Suppliers (including but not limited to hotels, airlines, cruise, rail, tour operators, vehicle rental and transfer operators) are applying mandatory Covid conditions (including but not limited to vaccinations and testing). Please regularly check supplier websites for current COVID-19 conditions. This is the travellers responsibility.

Late Bookings
Bookings made within 45 days of travel, or inside supplier cancellation fee periods, will require a Credit Card Guarantee before requests for confirmations can proceed. Bookings for travel within 14 days will incur a $55 late booking fee.

Deposits
A deposit is required for most travel or cruise bookings, the Terms & Conditions of which may vary according to the supplier or operator being booked. Deposit details will be written on your invoice and/or the accompanying documentation that is provided when your booking is made. Some bookings may require additional third-party deposits. Where full payment is received immediately, a deposit is deemed to be a portion of the full payment. A deposit acts to hold the services requested but does not guarantee prices. It is the traveller’s sole responsibility to read and understand the terms of booking and that deposits can or will be forfeited, in the event of non-payment.

Final Payment
Final payment must be made within the specified time noted on your invoice and/or the accompanying booking information provided when your booking is made. Third party and Cruise bookings may require final payment earlier than 60 days (120 days for Cruises) to avoid automatic cancellation. Advertised specials require FULL payment within 24 hours of confirmation or instant purchase. Payments are not transferable to another party. Third Party charges may apply to the reservation and will need to be paid direct to the supplier. Please advise payment by due date to avoid your booking being cancelled.

Minimum Numbers
Some tour operators require minimum numbers to confirm a tour. As such, some bookings may be waitlisted until these minimum requirements have been reached. If a tour is not confirmed for this reason, a full refund or the tour or booking will be issued, less any credit card charges incurred. BlueSun Travel cannot accept responsibility for third party suppliers cancelling itineraries due to minimum numbers not being filled.

Amendments
A fee of $55.00 per amendment per file, will be charged once deposits have been received. A fee of $110.00 per amendment per booking will be charged once final payment has been received. Changes may also incur a fee from the tour operator, carrier or principals with which your booking is held and will be charged accordingly.

Cancellations & Refunds
If you cancel or terminate your holiday we will charge a cancellation fee. In some instances you will forfeit any additional supplier deposit that may have been collected in full. This will be written on the booking documentation provided at time of booking and/or the invoice from BlueSun Travel. After Final Payment 100% cancellation applies however refunds will be assessed at the discretion of BlueSun Travel and our suppliers taking into consideration supplier fees. Please note, in no circumstances are credit card fees refundable (see Credit Card Fees section below for further clarity).

Bonds & Security Deposits
Some suppliers and tour operators will charge a bond or security deposit to cover them for damages as a result of, but not limited to, a person hiring a good, service, vehicle or renting a property or product. Make sure you read the terms and conditions of hire or sale before paying for such good or service. In the event that a bond or security deposit is authorised for refund, this may take up to 30 days to be processed and refunded. You are responsible for providing your banking details (account name, BSB and account number) in writing to holidays@bluesuntravel.com.

Administration Fee
In respect to services included in your holiday cost but not utilised, an administration fee of $55.00 per booking plus fees charged by suppliers will apply.

Prices
All prices are quoted in Australian dollars (AUD$) and are subject to change without notification. With hotels and holiday packages, prices are based on the lead-in room category, as a guide. All prices are land only and do not include airfares to featured destinations. Subject to availability, change, withdrawal or variation without notice.

Pricing Surcharge
Some suppliers may place a surcharge during special events, school holidays and long weekends throughout the year, please check prior to booking. The same applies to travel during high season holiday periods.

Airlines Ticketing Fee
A $55 fee per reissue of a ticket will be charged in addition to airline fees and charges.

Credit Card Fees
Payments can be made with most major credit and debit cards. Fees will apply and do vary according to each credit and debit card used. Make sure you check with our consultant or your travel agent at time of payment. Please note, the Payment Processing Fee (credit card) charged by Mint Sales Australia, RezdyPay and/or any other merchant account provider is at all times and circumstances non-refundable, including on refunds. Should you wish to avoid credit card fees, you can pay by EFT (Electronic Funds Transfer) in most instances. Call 1300 799 758 to discuss this option.

Fuel Surcharges
Prices are subject to change due to suppliers implementing a fuel surcharge or increasing existing fuel surcharges.

Concessions
Some suppliers offer senior and pensioner concessions. A copy of a valid Seniors or Pension concession card number will be required prior to booking for some suppliers in order to receive reduced rates.

Child Costs
Child costs, where they are available at the time of booking are at the discretion and on the conditions of the supplier. Child ages vary per supplier.

Body Weights
Some tour operators and suppliers have a weight restriction per person, in the name of safety and/or as a result of industry law or guideline. This is most likely applicate for tours involving light aircraft (maximum 120 kgs per person) and animal rides (camel rides 90kgs per person)

Hotel Deposit
Some hotels may require a cash deposit should you be unable to provide a credit card imprint.

Hire Vehicles Age Limit
25 years is the minimum but some companies make special allowance for drivers 21 years and over. Provisional licences are not accepted. All hire rates in this brochure include collision damage insurance. A non-waived damage excess applies to all vehicles. A bond for petrol and insurance excess is payable to the company at the time of collection of your vehicle. This bond is fully refundable, less petrol, when the vehicle is returned in an undamaged condition. Bonds are usually taken in the form of a credit card deposit or pre-authorisation of a credit card however other forms of payment may be accepted, each individual car hire company varies as to what they will accept. Insurance is completely void for normal sedans if driven on unsealed roads. All distances, driving times, and maps shown in this brochure are designed as a guide only. Additional charges will be levied direct to Car Hire Operator. Please refer to Terms & Conditions provided to you at time of booking. Additional charges such as one-way fees and Premium Location Surcharges may apply and will be in additional to the daily rate. Please check with your travel agent or our reservations team before booking.

Identification
You may be asked to present photo identification to the Supplier or Carrier upon check in. Airlines and Cruise companies require names spelled as per photo identification, change fees will apply if names are spelled incorrectly. Some cruises include travel to International destinations and require a valid passport with 6 months or more validity. Packages to and from Cocos (Keeling) and Christmas Islands depart from International airport terminals and valid Australian photo ID is required. Passports are recommended for ease of travel.

Transfers
Some accommodation suppliers provide courtesy transfers from airports/railway stations.  It is essential that these transfers are pre-booked.  Some Tour Suppliers provide complimentary pick up and return drop off to your holiday accommodation.  All tours and transfers must be re-confirmed with the supplier at least 24 hours prior to departure directly with the service provider.

Complaints
Where problems are incurred during travel, it is imperative that you inform the Supplier immediately in order for the Supplier to rectify the situation as quickly and effectively as possible.  If you do not do so it may hinder the ability of the Supplier to resolve your concerns and to ensure your holiday is exactly to your liking.  If booking issues require the assistance of BlueSun Travel to be resolved, we request that all complaints are forwarded to our General Manager in writing, immediately on your return.

Hotel Accommodation Definitions
Per room per night cost is based on 1-2 passengers sharing the room unless otherwise stated.

Additional Information
Additional information required at time of booking – a contact mobile number, address, postcode, dietary requests, date of birth and passenger’s weights are required for some suppliers.

Government Enforced Cancellations
Where a cancellation is required due to Government advice, the deposit amount (less any fees) may be held in credit for a maximum period of 12 months from the date of cancellation.

Responsibility
Information featured on our website and in our brochures has been supplied by the people and organisations (Suppliers) providing the various goods and/or services (Products). In supplying this information to you, we are acting as the agent of such Suppliers.  We take all measures to ensure that the information featured in our brochures and on our website are accurate at the time of publication, however, we do not control the manner in which Products featured are provided. We disclaim and will be exempt from liability for anything to do with the supply of such Products. This includes liability (whether as a matter of contract, tort, statute, restitution, or otherwise) for any direct, indirect or consequential loss, liability, claim, cost, expense, proceeding, demand, penalty, disappointment, death, injury, illness, shock, inconvenience or delay. This limitation of liability also applies irrespective of the cause, including negligence of us or a Supplier, withdrawal, cancellation or failure to provide a Product, delay, any variation in the Product, the provision of substitute Products or a change in the Supplier. Without limitation, we will not be responsible if the Product is not available due to inclement weather conditions or other Acts of God, civil disturbances, fire, floods, acts of Government or any other authorities, accident to or failure of machinery or equipment or industrial action. BlueSun Travel cannot accept any responsibility for any operator changing or withdrawing prices, details or services shown, all are subject to alteration without notice. BlueSun Travel is a travel and cruise agency and in the provision of holidays acts solely as an agent on behalf of the principals. These principals are all land and transport suppliers including the range of hotels, car companies, boat companies and cruise lines used in the holidays by the client. BlueSun Travel is not a principal and acts solely as an agent between the principal and the third party (client) it is not responsible for monies paid in advance to the principal by BlueSun Travel on behalf of the third party (client) if the principal is unable to provide that service either by default, insolvency, liquidation, change of ownership or operation difficulties.

Travel Insurance
BlueSun Travel and our third-party providers and distributors do not include insurance cover in connection with our products and services. We strongly recommend travel insurance, which can cover many potential losses including, loss of deposit and cancellation fees.  Ask a BlueSun Travel reservations consultant for a recommendation of policies to suit your needs.

Images displayed in the brochure and on the website are included as a guide only.  Hotel room photographs are representative only and actual rooms occupied may vary in décor, size and inclusions from those shown. 

Database
Any person that makes an enquiry with BlueSun Travel or any of its travel divisions will be automatically added to our database. Your name and all collected information will not be shared with any outside party without your express permission. If at any time you wish your name and email address to be removed from our database and mailing list, please let us know in writing via email to holidays@bluesuntravel.com.

Privacy Policy

BlueSun Travel takes your privacy seriously. The information we collect is required by us under State and Federal Law as part of our Charter Operating License. All information collected will the used and stored as part of these guidelines. Furthermore any information collected will not be transmitted, sold, or otherwise used for any other purpose than for the efficient running of the Company, providing information directly to you, the Customer, from us, the Company or as required under State or Federal Law. Additionally, some high risk activities require a waiver to be digitally signed by a third party service, This service is provided by ‘Smartwaiver’ which digitally stores the Customers legally binding documents pertaining to Events conducted by the Company. The privacy policy shall incorporate the Privacy Notice located at https://www.smartwaiver.com/p/Privacy

Delivery Policy

Our systems are semi-automated, What this means is that any interaction with the us whereby you are required to submit payment, or otherwise agree to submit payment for goods and services for an Event when entered into our booking system, means that our system will send you an email confirmation that interaction. This can be, but not limited to, Notification of Booking, Confirmation of Booking, Change of Booking, Status of Booking. If you have not received any notification of such interaction then you must first check any “spam” or “junk” folders that your email system utilises and if you still cannot locate any notification please contact us immediately. Failure to inform the Company that you, the Customer have not received notification of rescheduled, cancelled or otherwise changed Event dates or times shall not allow the Customer exemption from the Refund Policy nor shall the Company be held liable for any compensation due to this.
